2nd CWLOA Violation of Bylaws with expenses

In less than a week, three CWLOA mailings have been received via First Class mail. The first was outlined in a post last week. Later, these two items were received:

The item received on behalf of Sandy Page was a copy of an email that was apparently sent to the community members who choose to receive emails from the CWLOA Board. Many community residents have chosen to not receive these emails just as many have also Unsubscribed from the messages from www.cascadewoodlands.com. Sending copies of emails via USPS at a CWLOA cost to people who have specifically requested to not receive them is a violation of standard communications etiquette and policy.

Several years ago, it became apparent that the policy of the CWLOA to send open emails with all recipient’s email addresses listed was a huge liability. A community member offered to the then President, Brian Phelps, to build a system that would allow for properly masked and one-way communications with the ability to reference the information for those who did not read their emails or missed the notification. This is a standard business practice that protects privacy and prevents the ability of individuals to respond and hijack a conversation with personal or inappropriate content.

When a professional group determines appropriate information needs to be shared, a communications strategy is implemented. The basic process is to determine what needs to be shared, and a purpose for sharing that information, then how to share it. A simple example of this is a press release. Every communication you receive has a purpose.

 

Regarding the Annual Business Meeting notice, it was stated that “Per the Bylaws” of the meeting is for the election of officers. Please review the bylaws, however here is an excerpt related to this matter:

Article IV – Meetings

Section 1: A general meeting will be held at least annually, during the month of June. Other general membership meetings shall be held when deemed necessary by the Board of Directors.

Section 2: The annual membership meeting shall be held for the election of officers.
